Primary Objective
The Executive Assistant (EA) provides high-level executive and administrative support to the Chief Executive Officer (CEO), enabling the efficient and effective leadership of CatholicCare. The EA ensures the CEO’s time, communication, and strategic priorities are expertly managed in alignment with CatholicCare’s mission and values.
As a trusted partner to the CEO, the EA acts as a central coordination point and key liaison between the CEO and internal and external stakeholders. The role plays an active role in supporting the delivery of the organisation’s strategic plan and contributes to governance and executive decision-making processes.
In addition, the EA is responsible for coordinating CatholicCare’s management of subpoenas, ensuring matters are handled accurately, confidentially, and in accordance with legal and organisational requirements. The EA also leads the planning and delivery of key events, including leadership forums, Board events, and other significant organisational events.
Other key responsibilities include managing the CEO’s complex calendar and prioritising appointments to ensure optimal use of time; preparing agendas, minutes, and briefing materials for meetings; and coordinating domestic and interstate travel. The EA also ensures the timely preparation, collation, and distribution of Executive and Board documentation while maintaining the highest standards of confidentiality, professionalism, and discretion.
The EA supports effective communication on behalf of the CEO, drafts correspondence, monitors incoming requests, and follows up on action items to ensure deadlines are met.
Success in this role requires sound judgement, initiative, professionalism, and the ability to manage competing priorities in a dynamic and fast-paced environment.
Qualifications and Experience
Essential:
• Minimum of five (5) years’ experience in a senior executive support or similar role;
• Current C class Driver’s license (QLD).
Desirable:
• Relevant tertiary qualification in Business Administration.

• Demonstrated ability to coordinate and manage subpoena processes with a high degree of accuracy, confidentiality, and legal compliance;
• Proven experience in planning and delivering strategic and high-profile events, including leadership forums and Board-level engagements;
• High-level computer literacy including Microsoft Office and governance platforms such as BoardPro; and
• Strong attention to detail and accuracy in all aspects of work.

• Flexibility to undertake occasional regional travel or after-hours work as required.
